Your day.

 

As a Patient Access Administrative Assistant, you need to know how to:

 

  • Greet the patient and answer the telephone, communicate general practice information to patients and family members and provide patients with appropriate paperwork.
  • Gather accurate information by interviewing patients, verifying insurance coverage and patient demographics at each visit, accurately recording / updating information using registration software, and obtaining patient signatures as appropriate.
  • Resolve registration errors within practice management software.
  • Prepare and submit daily reconciliation of cash drawer and receipts.
  • Make scheduled rounds on the clinic floor to check for lab orders and specimens.
  • Understand the use of ABNs for lab orders and collect payment as appropriate.
  • Notify phlebotomist upon completion of patient check-in.
  • Deliver results to providers directly or by phone.
  • Clarify lab orders and diagnosis with medical personnel.
  • Process CPT coding and diagnosis coding.
  • Maintain patient confidentiality as outlined by privacy and HIPAA guidelines.
  • Resolve Physicians office and patient issues.
  • Identify opportunities to improve patient relations and shorten the time it takes to handle registration processes.
  • Build and maintain collaborative relationships with both internal and external clients that lead to more effective communication and a higher level of productivity and accuracy.
  • Scan patients insurance card and identification at time of service.
  • Identify co-pay and deductibles, communicating patient financial responsibility at point of service and collection of such patient responsibility at point of service.
  • Coordinate self-pay patient flow to appropriate Patient Access of HCFS staff.
  • Screen for and process non-covered service and waiver of liability (ABN) through automated screening at time of service.
  • Review input and audit quality to assure accuracy in all aspects of the position, particularly patient type, financial class and insurance codes.
  • Escort patient to designated location according to preference and physical need (e.g. walking, wheelchair, stretcher).
  • Maintain Rural Health Designation including Annual Cost Report.
  • Handle mail and correspondence.
  • Maintain open communication with all the companies for Credentialing & Contracts.  Ensure all information is up to date.
  • Handle Accounts Payable and Accounts Receivable, Payroll and quarterly reports plus year end reports.
  • Keep QuickBooks up to date and balance all bank accounts.
  • Maintain Medical Records, keep records current. Do all scanning, copy records as per requested for patient transfer, send records to other medical facilities for continuity of care and request records for continuity of care.
  • Maintain office equipment and order office supplies.
  • Make sure all computer programs are running properly and add new users as needed.

 

Your experience.

  • High School Diploma or equivalent, required
  • Current BLS Friends and Family certification, required within six (6) months of hire
  • Minimum of three (3) years of secretarial or administrative assistant experience, required
  • Knowledge and use of medical terminology, required
  • Associates Degree, preferred
